Family Member Overview

Who Can You Add?

Add immediate and extended family:

Immediate family:

  • Spouse or partner
  • Children (any age)
  • Parents
  • Siblings

Extended family:

  • Grandparents
  • Grandchildren
  • Aunts and uncles
  • Other relatives

Household members:

  • Must have permission to manage their healthcare
  • Legal guardianship for minors
  • Healthcare proxy for adults
  • Consent required for those 18+

Viewing Family Members

Access Family List

  1. Open RoadL Patient App
  2. Tap menu (three lines)
  3. Select My Family
  4. See all family members

Family List Information

Each family member shows:

  • Profile photo
  • Full name
  • Relationship to you
  • Age/Date of birth
  • Insurance status
  • Profile completion %
  • Number of upcoming appointments

Your profile also appears:

  • Listed as "Self" or "Me"
  • Same information and controls
  • Manage alongside family

Viewing Individual Family Member Details

See Complete Profile

  1. Go to My Family
  2. Tap family member
  3. View their complete information:
    • Personal details
    • Contact information
    • Addresses
    • Insurance
    • Emergency contact
    • Appointment history
    • Medical history
    • Preferences

Privacy protected:

  • Medical details from visits not shown
  • Only administrative information
  • HIPAA compliant
  • Age-appropriate access

Editing Family Member Information

Update Personal Details

  1. Go to My Family
  2. Tap family member to edit
  3. Tap Edit Profile
  4. Update fields:
    • First name
    • Last name
    • Preferred name
    • Date of birth (limited edit)
    • Gender
  5. Tap Save Changes

When you can edit:

  • Name spelling corrections
  • Preferred name updates
  • Gender updates
  • Contact information

When you need support:

  • Date of birth changes (verification required)
  • Relationship changes
  • Major corrections

Update Contact Information

For family members:

  1. Select family member
  2. Tap Edit Profile
  3. Update:
    • Phone number (if they have one)
    • Email address (if they have one)
    • Communication preferences
  4. Save changes

For minors:

  • Usually use parent's contact info
  • Optional: Their own phone/email
  • Notifications go to parent
  • Age-appropriate communication

For adults:

  • Can use their own contact
  • Or your contact
  • Their choice for notifications
  • Privacy preferences honored

Update Profile Photo

  1. Select family member
  2. Tap profile photo
  3. Choose option:
    • Take Photo
    • Choose from Library
  4. Crop and adjust
  5. Save

Photo guidelines:

  • Clear face view
  • Recent photo
  • Good lighting
  • Appropriate photo
  • Similar to ID (for adults)

Managing Family Member Addresses

Shared Address Book

Family members can use:

  • Your saved addresses
  • Their own addresses
  • Mix of both

Add Address for Family Member

  1. Select family member
  2. Tap Addresses
  3. Tap Add Address
  4. Enter address information
  5. Save

Address options:

  • Use existing from your address book
  • Add new address specific to them
  • Set their default address
  • Add special instructions per person

Example Uses

Child at school:

  • Add school address
  • Schedule school nurse visits
  • Campus access instructions

Parent at care facility:

  • Add facility address
  • Room number in instructions
  • Facility entry protocols

Spouse at work:

  • Add workplace address
  • Office building access
  • Work schedule preferences

Managing Family Insurance

View Insurance for Family Member

  1. Go to My Family
  2. Select family member
  3. Tap Insurance
  4. See their coverage:
    • Insurance plans on file
    • Verification status
    • Primary/secondary designation
    • Card photos

Add Insurance for Family Member

  1. Select family member
  2. Tap Insurance
  3. Tap Add Insurance
  4. Search for insurance company
  5. Enter their plan details:
    • Member ID
    • Group number
    • Subscriber relationship
  6. Upload card photos
  7. Save

Important:

  • Use their Member ID
  • Their relationship to subscriber
  • Their insurance card photos
  • May differ from your insurance

Edit Family Member Insurance

  1. Select family member
  2. Tap Insurance
  3. Tap insurance plan
  4. Tap Edit
  5. Update information
  6. Save changes

Same Insurance as You

If family member on your insurance:

  • Each needs their own entry
  • Use same insurance company
  • Different Member IDs (if applicable)
  • Correct relationship to subscriber
  • Upload their card

Family Member Emergency Contacts

Set Emergency Contact

Each family member needs emergency contact:

  1. Select family member
  2. Tap Emergency Contact
  3. Enter details:
    • Contact name
    • Relationship to THEM
    • Phone number
  4. Save

Considerations:

For children:

  • Parent as emergency contact
  • Or other parent/guardian
  • Grandparent if primary caregiver

For spouse:

  • You as emergency contact
  • Or adult child
  • Or close friend/relative

For parents:

  • You as emergency contact
  • Or their spouse
  • Or sibling

For others:

  • Discuss with them
  • Their preference
  • Someone responsive

Scheduling Visits for Family Members

Book Appointment for Family

When scheduling a visit:

Step 1: Select Patient

  1. See list of family members
  2. Tap who needs care
  3. Proceed with booking

Visit booked under their profile:

  • Their insurance used
  • Their appointment history
  • Their service address
  • Their preferences

You receive notifications:

  • As account manager
  • About their appointments
  • Can track their care
  • Communication on their behalf

See all family appointments:

  1. Go to My Appointments
  2. Filter by family member
  3. See their visit history
  4. Manage their appointments

Or from their profile:

  1. Go to My Family
  2. Select family member
  3. Tap Appointments
  4. See their visits only

Family Member Preferences

Set Individual Preferences

Each family member can have:

  • Preferred pharmacy
  • Notification preferences
  • Communication style
  • Language preference
  • Provider preferences

To set:

  1. Select family member
  2. Tap Preferences
  3. Configure their settings:
    • Preferred pharmacy
    • Notification delivery
    • Language
    • Accessibility needs
  4. Save

Why customize:

  • Teens may want own notifications
  • Elderly may prefer phone calls
  • Language preferences vary
  • Medical needs differ

Removing Family Members

Delete Family Member Profile

  1. Go to My Family
  2. Tap family member to remove
  3. Tap menu (three dots)
  4. Select Remove Family Member
  5. Confirm deletion

When you can remove:

  • No upcoming appointments
  • No outstanding balances
  • No pending claims
  • 30 days since last visit

Cannot remove if:

  • Scheduled appointment
  • Visit in progress
  • Recent appointment (30 days)
  • Outstanding payments

What happens:

  • Profile deleted permanently
  • Appointment history retained (anonymized)
  • Cannot be recovered
  • Must re-add if needed

Before Removing

Consider:

  • Will you manage their care again?
  • Any pending medical records?
  • Outstanding claims?
  • Historical data needed?

Alternatives:

  • Keep profile inactive
  • Mark with note "DO NOT USE"
  • Keep for historical reference

Managing Legal Compliance

Terms and Conditions for Family

Each family member must accept terms:

For minors (under 18):

  • Parent/guardian accepts for them
  • Legal guardian has authority
  • One acceptance covers them

For adults (18+):

  • They must consent to your management
  • Legal healthcare proxy required
  • Or verbal consent recorded

Healthcare Proxy

For elderly or incapacitated adults:

  • Legal healthcare proxy needed
  • Upload documentation to profile
  • Notarized if required
  • State-specific requirements

To upload proxy:

  1. Select family member
  2. Tap Legal Documents
  3. Tap Upload Healthcare Proxy
  4. Select document file
  5. Save

Family Account Security

Who Can Access Family Profiles

You as account holder:

  • Full access to all family member profiles
  • Manage all healthcare
  • Schedule all visits
  • View all information (except protected medical details)

Family members themselves:

  • Cannot log in to your account
  • Can request own account (18+)
  • Medical privacy maintained
  • HIPAA compliance

Providers:

  • See only their patient's information
  • During their visits only
  • Medical information only
  • No access to other family members

Protecting Privacy

Best practices:

  • Don't share login credentials
  • Log out on shared devices
  • Use biometric security
  • Secure your phone/device

For teens:

  • Consider their privacy preferences
  • Age-appropriate access
  • Discuss sensitive topics privately
  • Honor their healthcare choices

Transitioning to Own Account

When Family Member Turns 18

Options:

Keep on your account:

  • Continue managing their care
  • Requires their consent
  • Convenient for family care
  • Shared communication

Create own account:

  • Full independence
  • Own login credentials
  • Own payment methods
  • Private communications

To transition:

  1. Contact support: (833) 762-3555
  2. Request account split
  3. Transfer records
  4. They create own account
  5. Historical data transferred

Moving to Different Account

If family member wants own account:

  1. They download RoadL app
  2. They create account
  3. Contact support to transfer records
  4. Remove from your family profile

Historical data:

  • Can be transferred
  • Or archived
  • Their choice
  • HIPAA compliant

Troubleshooting

Can't Edit Family Member

Common issues:

Date of birth locked:

  • Contact support for changes
  • Verification required
  • Submit documentation

Profile locked:

  • Upcoming appointment exists
  • Complete or cancel visit first
  • Then edit profile

Changes won't save:

  • Check required fields
  • Verify internet connection
  • Update app
  • Contact support

Insurance Won't Verify

Family-specific issues:

  • Relationship to subscriber wrong
  • Their Member ID (not yours)
  • Their date of birth
  • Contact insurance for verification

Can't Remove Family Member

If removal blocked:

  1. Cancel upcoming appointments
  2. Wait 30 days after last visit
  3. Resolve outstanding payments
  4. Then try removal again

Or contact support:

  • Manual removal possible
  • After verification
  • With good reason
